Personnel Change Procedures

The following are steps to take when hiring any new employee – this includes a temporary or summer camp employee:

Put a request into Response

Procedure – Within Response, Technology, Database Changes:

On the right, click Auto fill and then enter alongside each appropriate entry.
Submit Request.

As soon as the hire is made (example even if the hire date is May 12 and the start date is September 1, put the request into Response straight away. This gives a heads up to Admin and Payroll for benefits, business cards, network account, masthead, bio for our website, entry into Raiser’s Edge, phone lists, emergency cards, etc. There are many steps we take with a new employee, even a temporary hire. Please enter it as soon as we know someone is coming to work at Temple Israel. See hq, Human Resources, Staff Checklist.

A New Hire Personnel Action Sheet (PAS) needs to be submitted along with an Application for Employment, W4, I9, and a direct deposit form. This can be done closer to the actual start date but no later than one week before the start date. This ensures we know what benefits, vacation, pay rate etc. are for the employee as well as identifying which department – or sub-department – they are assigned. It also verifies eligibility for employment and permits time to run a required background check. Note, ECLC staff background check procedure is different.

Entering Changes of Employment Status in Response – Staffing changes must be entered in Response in order to have up-to-date employee information. For Religious School teachers ending their contract year, enter if they are terminated or are expected to return in September. Add Camp Chaverim counselors that are being hired just for June and July and then provide an update when they terminate at the end of July.

A Personnel Action Sheet (PAS) is required per employee. Use a current employee action PAS located in the staff website, hq, for vacation requests, change of address, maternity leave, leave of absence, etc. If you change your residence address that should be entered as well so the correct information is in our database.

Note, Temple Israel’s fiscal year is from July 1 – June 30.
